Overview

The Production and Project Management Coordinator directly supports the Associate Director, Production and Project Management and the Assistant Director, Project Management by performing a wide range of duties that assist both in the day-to-day activities of the Division.

Responsibilities

  • Works with colleagues in all departments of the AACR by accepting their production requests submitted in Lytho.
  • Reaches out to said colleagues with any questions regarding missing instruction, copy, or art. Adds this information in the Lytho request. Pulls any files or reference numbers that will be relevant to the success of production.
  • Anticipate project-related problems and make recommendations to the Assistant Director, Project Management
  • Manage photo and art repository on cloud based server; eventually in Lytho or similar product
  • Manage the check request process by completing form and attaching supporting paperwork. Monitor signature process before sending to Finance for payment.
  • Run various reports from Lytho to be used in Annual Meeting Wrap-Up reports and end-of-year reports.
  • Analyze Annual Meeting survey data to pull insightful comments and actionable recommendations for improvement.
  • Provide support to the MCS&MP Division in a wide range of duties as needed or assigned.
  • Works closely with the Assistant Director, Project Management to relay all information for assignment of product creation to Creative or Marketing.
  • Creates labeling system for all assets stored on Cloud based server for easy access by Creative and Marketing Team.
  • Helps to problem-solve potential issues that may arise during the production of a Marketing piece ensuring deadlines are met.
  • Acts as a liaison with other AACR departments to clarify information included by our colleagues in the Lytho request.
  • Performs other related tasks, as assigned.

Qualifications

  • Bachelor’s Degree in Marketing or Communications
  • 3-5 years experience in project or account management.
  • Ability to develop innovative ideas and concepts to ensure deadlines are met.
  • Exceptional communication skills, both verbal and written, and proven ability to communicate with all levels of management and external vendors.
  • Ability to communicate conflicting deadlines and realistic estimations of project completion.
  • Flexible and able to work well in a team environment.
  • Knowledge of both Macintosh platform and PC/Windows environment.
  • Knowledge of project management software; preferably Lytho.
  • Knowledge of Microsoft Office products.
  • Knowledge of Adobe Creative Suite (InDesign, Illustrator, Photoshop) is a plus but not mandatory.
  • Highly organized and detail-oriented.
